Return to Play Policies, Procedures & Guidelines for Sports Providers

For Sports Providers (General Public Information)

  • Follow all local and state guidelines for facilities and events.
  • Coordinate standardized public safety signage with the Parks and Recreation Department.  Information must include general safety guidelines for the public by the Shelby County Health Department.  Ensure messages are clear and posted for public visibility/awareness at all times.
  • Conduct regular and thorough cleaning of all communal equipment, seating, and tables by using disinfectant cleaning supplies.
  • Properly train all individuals responsible for ensuring that these safety measures are followed.
  • Individuals should maintain 6-feet of social distance from others who are not of the same household.
  • Prohibit clustering of group participants to allow for safe social distancing – a minimum of six feet – whenever possible and practice recommended social distancing to the greatest extent possible — “Further is safer”.
  • Prohibit communal refreshments, drinks, and snacks (individual drink bottles and snacks are acceptable).
  • Develop safe drop-off and pick-up procedures for children to comply with social distancing safety measures to prevent parents, spectators, or any other individuals from congregating together.
  • Prohibit all individuals from congregating in parking lots and common space areas.
  • Provide handwashing stations or alcohol-based sanitizer at entries to any area or facility.
  • Each Baseball/ Softball/ Soccer field is limited to one group of 50 people including players, coaches, officials, and spectators. If the facility being used is a complex of more than one field, the 50% facility capacity guideline will apply.
  • All activities must involve distancing and no physical contact will be allowed.
  • Limited facility use.  In order to allow for summer turf maintenance activities, fields will be assigned by P&R staff and may be rotated.
  • Practice/ activity times must be staggered at each field and provide enough transition time to allow each practice group to disinfect, remove items, and leave the field area before another group arrives.  Not exceeding over 50 people at the fields or 50% capacity will be strictly enforced.
  • Each group activity should be limited to 90 minutes.
  • Sports providers must maintain a complete list of coaches, players, and officials present at each activity and include the date, beginning and ending time of the activity.  A database of all these names, addresses, and phone contact numbers? must be available to the City of Germantown and the Shelby County Health Department upon request and as needed for contact tracing.
  • Immediately isolate and seek medical care for any individual who develops symptoms.
  • Contact the City of Germantown Fire Department and the Shelby County Health Department about suspected cases and/or exposure.  Further instructions may be given.
  • Standard guidelines for weather events and closing wet fields will still apply.

For Coaches

  • Limited or no use of the dugouts.  Players may hang their bags on the outside of fields on the fences.
  • Upon arriving at a field, disinfect hard surfaces, i.e. benches, bat racks, etc.  Use of bleachers will be prohibited in this Phase II.
  • No team water cooler or shared drinking stations.
  • Coaches and officials must wear face coverings unless engaged in physical activity with the team.
  • The coach is the only person to handle any team practice equipment.
  • Ensure the health and safety of the players:
    • Pre-activity health checks - inquire how the players are feeling - send them home if you believe they act or look ill.
  • Supply players with antibacterial wipes and hand sanitizer for disinfecting shared equipment and cleaning hands periodically during practice.
  • Adults should wear masks when not engaged in physical activity.
  • Adhere to and manage social distancing practices of 6-feet or more between individuals and players at all times per state and local health guidelines.

For Parents

  • Ensure your child is healthy - check your child’s temperature prior to any practice.
  • Participants should not be brought to the facility if your at-home health check reveals any of the following:
    • Have been in close contact with a confirmed case of COVID-19
    • Experiencing a cough, shortness of breath, or sore throat
    • Have had a fever in the last 48 hours
    • Have had new loss of taste or smell
    • Have had vomiting or diarrhea in the last 24 hours
  • Limited or no carpooling.
  • Adhere to social distancing requirements - maintain at least 6 feet apart.
  • Ensure the child’s clothing is washed after every practice.
  • Ensure the child’s equipment is cleaned and sanitized after each practice.
  • Do not assist another child or coach with team equipment.
  • Be sure your child has the necessary sanitizer with them at practices.  Teach your child how to properly use.
  • Bleachers and facility seating will not be available.  Please bring your own chair.
  •  Require parent/guardian supervision for all children not on the field to ensure that children are able to comply with these safety measures (e.g., social distancing and wearing face coverings when appropriate).

For Players

  • Wash hands thoroughly before and after activity.
  • Bring your own hand sanitizer.
  • Do not touch or share anyone else’s equipment, water, snack, or bag - you must bring your own.
  • Practice social distancing - place bags and equipment at least 6 feet apart.
  • Wash and sanitize all equipment before and after training sessions.
  • No spitting or eating seeds, gum, or other similar products.
  • No-touch rule - players must refrain from high 5’s, hugs, handshakes, or other physical contacts with teammates, opposing players, coaches, umpires, and fans.  A “tip of the cap” or a wave can be used following the game in lieu of the handshake line.
